LOCATION – RNA Central Office, HMNB Portsmouth (occasional travel and overnight stays may be necessary to support events around the UK)

- Salary range: £32,500 – £35,000 (depending on skills and experience)

OVERALL PURPOSE
The role of the Association Membership Secretary (AMS) is to lead on all matters concerning the administration and recruitment of Membership and act as RNA Central Office Manager.
ROLE OVERVIEW
- Responsible for the practical delivery of membership administration, support and recruitment.
- Responsible for the day-to-day management and running of RNA Central Office including leading on office financial matters
- Act as the key link with any external stakeholders/enablers in respect to membership issues and office management.
ROLE RESPONSIBILITIES
This is not meant to be an exhaustive list of duties. The need for flexibility is required, and the post holder is expected to carry out any other related duties that are within the employee’s skills and abilities whenever reasonably instructed. Conducting specific activities outside of the immediate AMS role and in remote locations as directed by the CEO. There is a very occasional requirement to stay away from home overnight.
Membership:
- Assist answering all enquiries relating to membership, and signposting enquiries to the appropriate external agency or internal member of staff or volunteer.
- Act as Secretary to the RNA Standing Orders Committee
- Act as Transport Manager for the fleet of 3 RNA minibuses
- Support regular RNA National and ad hoc events.
- Attend and contribute to the Central Office governance and logistic effort towards RNA Annual Conference. This includes, but is not limited to, produce of delegate packs, run the raffle ticket sales and draw. Ensure that all required deadlines are met with regards to motions for conference and delegates, liaising with Branch Secretaries to ensure that accurate paperwork is distributed and returned in accordance with the Royal Charter.
- Support RNA Branch Committees by supporting the Secretaries, updating the Secretary guide, and controlling their access to the database.
- Support Culture, Value and Standards events for phase 2 trainees within Portsmouth dockyard
- Interrogate the membership database to produce membership and financial statistics for data reporting
- Manage the award of Life membership and Certificates of Appreciation
- Support RNA Central Office Open Days
- Lead on Naval Bases Access and Passes
- Act as the RNA Data Protection Officer, ensuring that the subscription to the Information Commissioners Office and the associated policies are renewed annually.
- Act as the Assistant RNA Health and Safety Officer
- Act as the Building Manager and Fire Safety Officer
- Act as the Information Manager
- To account for and sell membership Goods, ensuring that quarterly stock checks are undertaken and reporting these to the RNRMC in accordance with financial guidelines. Ensuring that stock is purchased and maintained.
- Oversee the maintenance and use of Office Machinery
- Manage the Gift Aid process for the RNA, ensuring that submissions are forwarded to the HMRC in a timely manner and that accurate records are recorded, maintained and held for verification and audit purposes
- Act as the main focal point for Concur, ensuring that invoices and claims are checked for accuracy and forwarded for uploading. Coding and submitting claims for payment in accordance with the finance rule book.
- Update policies and rule books within responsibility
- Manage the annual leave reporting for RNA staff
- Manage the Just Giving and SumUp accounts
- Conduct monthly return fort eh RNA Lottery and ensure that the Small Societies Registration remains current with the Local Authority
