Job Description

 A fantastic opportunity has arisen for a part time Branch Administrator to join the Tyne & Wear Branch at SSAFA, the Armed Forces charity.

SSAFA, the Armed Forces charity, has been providing lifelong support to our Forces and their families since 1885. Last year our teams of volunteers and employees helped thousands of people in need, from Second World War veterans to young men and women who have served in more recent conflicts, and their families. SSAFA understands that behind every uniform is a person. We are here for that person – any time they need us, in any way they need us, for as long as they need us.

About the role

You will be coordinating and delivering the branch administration function, handling email and telephone correspondence as well as developing and maintaining mutually beneficial links with other voluntary and statutory stakeholder organisations in the local area and the military charity sector.  You will be supporting branch volunteers on IT issues, arranging and providing administrative support to branch meetings and study days, as well as maintaining the branch supply of PR materials.  The role includes providing support and advice to other branch members, most of whom are volunteers but including a small number of employed staff.  The maintenance of excellent working relationships is essential.

SSAFA branches rely on trained volunteer caseworkers to deliver service and therefore, within the branch, you will support the recruitment of all volunteers, ensuring the necessary training for new and current volunteers is completed in accordance with policy.  You will be promoting SSAFA’s values and standards, including the code of confidentiality, equality, diversity and inclusion, and compliance with SSAFA’s data security requirements.

The role is a member of the branch executive team and as your experience grows, you will contribute to the executive team’s decision making, under the overall control of the Branch Chairman.

About the team

You will work very closely with the Divisional Coordinators (volunteers and employed staff) and Branch Chairman (volunteer) whilst having regular contact with volunteers in the branch.  These are mainly the volunteer caseworkers who carry out the support delivery to SSAFA’s clients, helpers in the office are sometimes available (volunteers) and a small number of fundraisers.  Line management will be through a regionally based Regional Operations Support Manager, though day to day tasking and oversight will be delivered by the Branch Chairman.

To carry out this role successfully you will have a clear and successful track record of:

  • Working within a confidential and data security environment
  • Computer literacy and competency with MS Office applications
  • Working as part of a team and to deadlines, desirably with volunteers
  • Speaking with colleagues and external stakeholders in a confident and accurate manner
  • Receiving and recording enquiries and initiating appropriate action
  • Competency in office administration
  • You will need to understand and be committed to SSAFA’s mission, vision and values
