Responsible to: Director of Finance & Business Services
Direct Reports: Financial Transactions Accountant
Salary: £49,963 – £55,727 (pro-rata – part-time 21 hours per week, hybrid and flexible by agreement in keeping with the charity’s workflow patterns)
Role purpose:
- To provide partnering support to the executive team and senior managers, that ensures they have accurate and timely management information including, key performance indicators (KPIs), Value for Money (VfM) metrics, accounts, forecasts, annual budgets and variance analyses.
- To support your line manager in the provision of relevant, timely and accurate financial information for strategic decision-making, co-ordinating with your direct reports to ensure accuracy of data, namely, but not limited to, the annual rent and service charges setting.
Key Responsibilities:
- Throughout the charity, improve the impact and understanding of financial reporting on the charity’s performance, developing a standardised approach to reporting.
- Prepare monthly management accounts and present these to the leadership teams, including variance analysis and commentary to budgets, and forecasts for each department.
- Support ongoing projects with monthly financial data, helping forecast future capitalisation costs and depreciation to assist project leaders.
- Manage the rolling five-year cash forecast and assist your line manager with the rolling five-year business financial plans.
- Management of Fixed Assets, reconciling CRM systems to financial systems, project by project and site by site and leading the rolling cycles of Fixed Asset verification, validation and impairment reviews with the Property Services team.
- Advising on project structures to facilitate asset creation in the Fixed Asset Register, cleansing project data of non-capital items and the timely creation of construction-in-progress (CIP) assets.
- Act as a key driver of cross-functional working relationships, supporting non-finance personnel in their understanding of financial performance, providing finance advice and support to key stakeholders
- Provide strong leadership to the finance team enabling staff engagement and ultimately effective financial monitoring and planning across the charity.
- Identify ways to improve the quality and integrity of the data and processes, implement automation where feasible. Develop and improve procedures, adopting best practice for the charity and driving continuous process improvement.
- Lead on the preparation of individual sites/units annual operating/revenue and capital budgets.
- Lead on the annual rent and service charges increases completing all necessary checks and reconciliations, with the ongoing maintenance of the charities rent models.
- Support and assist other members of the team to cover absences, peak work periods and/or to provide training when necessary.
Reconciliations:
- Completion of monthly system to system reconciliations, ensuring any risks are identified and mitigated on a timely basis.
- Completion of standard monthly balance sheet control accounts., combined with full supporting analysis and explanations.
Financial Services:
- Work with your direct reports to provide financial management and accounting services including; rent accounting, implementation of procurement policy and payroll functions.
- Assist Fundraising in funding applications and in monitoring reports. Provide financial analysis to include and not be limited to, preparing the financial components of selected grant applications and reports.
Financial Administration:
- Work with your team to keep and maintain financial records for audit trail purposes.
- Ensure all supporting documents are filed for external bodies such as HMRC for Gift Aid & VAT purposes.
- To work within the team to provide administrative support to the Director of Finance
Financial Management
- Authorisation of all standard journals by your direct reports, ensuring audit trail.
- Sign-off of reconciliation of all accounts on a monthly basis.
Financial Reporting
- Lead on interaction with HMRC as requested by your direct reports.
- Lead on the annual statutory accounts and annual budget preparations.
Project Management
- Assist with financial aspects of projects being run.
- Preparation of cash analysis of financial information for monitoring reports when required.
Managing and developing the business
- Build and maintain effective working relationships with statutory and voluntary providers, grant/charitable funders and other key stakeholders, representing Stoll in discussion with funders and key
Managing and developing the team
- Ensure that staff are recruited, inducted, trained and developed to enable them to deliver quality services.
- Coach and support staff to tackle issues of poor conduct or performance in accordance with Stoll’s policy and procedures.
- Develop team members through on the job training and external training programmes, including finance and soft skills courses (as necessary), objective setting, performance management and succession planning.
IT, record keeping, data management
- Work with your line manager to ensure that appropriate IT systems are in place that contribute effectively to decision making.
Quality and regulatory compliance
- Ensure that Stoll complies with the relevant financial and regulatory frameworks and take appropriate action to improve / remedy any causes for concern.
- Continuously look to improve the quality of services
Health and Safety
- Work in accordance with Stoll policy and legislative requirements for health and safety and report any accidents or potential accidents and near misses.
