DMWS – Administrative Assistant

We have an excellent opportunity for an Administration Assistant to join our team at Defence Medical Welfare Service, to help ensure the smooth running of HQ and the wider organisation by carrying out routine tasks and conducting general administration. Prior experience in a similar role would be ideal but not necessary, as full training will be given.

Ideally however, you will possess transferable skills that will include the following:

  • A positive attitude with excellent communication on the phone and face-to-face
  • Excellent IT skills, including experience of using Excel, Word and ideally Microsoft Teams
  • The confidence and ability to prioritise conflicting tasks
  • Evidence of organisational and administrative skills
  • Self-motivation and the ability to use your own initiative
  • An efficient working style with an exceptional eye for detail and outstanding team working skills
  • The successful candidate will have a current driving licence and access to a vehicle (due to the remote location of our office) and would be expected to take regular trips to the post office, and shops in the surrounding area.

Key aspects of the role include:

  • Ensuring the telephones are covered at HQ, acting as first contact for queries. Also ensuring that visitors are welcomed to the premises, and catered for during their visit.
  • Ordering of stationery, uniforms and lunches for meetings.
  • Help with scanning and filing documents ready for processing & providing a general administration service, working flexibly as required.
  • Co-ordinate audit tasks for the current DMWS team such as chasing up those who haven’t completed training etc.
  • Assist with recruitment as required
  • Manage any mobile equipment given to staff during their employment including replacing lost or damaged items.
  • Help with IT issues and liaise with the external IT consultant when required.
  • Co-ordinate cost effective travel arrangements across the organisation.
  • Willingness to assist the finance team where possible (training will be given)
  • Full-time position, 35hrs per week. Monday -Friday 9.00am – 5.00pm
